Duties of Officers & Committees
Regatta Committee
This committee:
1. Shall function as the Board of Directors of the Club and shall have full authority to manage and conduct the affairs of the Club including the determination of regatta schedules, systems of scoring and all other matters pertaining to the activities of the Club.
2. Shall consist of six elective officers of the Club (Commodore, 1st Vice Commodore, 2nd Vice Commodore, Secretary, Treasurer, and immediate Past Commodore) and not less than six additional members, appointed by the Commodore, to serve a term of one year or until the appointment of their successors.
3. Shall, on the advice of the Commodore, make the following appointments: Principal Race Officer, Chief Scorer, Property Officer, Fleet Captains, Junior Fleet Chairpersons, Trophy Chair, Membership Chair, Social Committee, Yearbook Editor, Historian, Nominating Committee Chair, Yachting Association Delegates, Legal Advisor, and such other Committees and officials as, in their opinion, are essential to the proper conduct of the Club.
Officers
Commodore
As Chief Executive Officer, the Commodore:
1. Shall manage and conduct the affairs of the Club and the Regatta Committee.
2. Shall make no less than six appointments to the Regatta Committee.
3. Shall be an ex-officio member of each committee.
4. Shall have such other duties as may be prescribed from time to time by the Regatta Committee.
1st Vice Commodore
As 1st Vice Commodore, this person:
1. Shall be an ex-officio member of the Race Committee.
2. Shall assist the Race Officer in carrying out his obligations and duties.
3. Shall be responsible for the planning of the Annual Family Picnic.
4. Shall be responsible for the planning of the Annual Sunfish Regatta.
2nd Vice Commodore
As 2nd Vice Commodore, this person:
1. Shall function as an aide to the Property Officer.
2. Shall assist him in carrying out his obligations and duties.
3. Shall be responsible for the planning of the Fall Regatta.
Treasurer
As Treasurer, this person:
1. Shall keep accurate accounts of all monies and other assets received or disbursed by the club.
2. Shall deposit all monies in the name of the club in such bank as may be approved by the Regatta Committee.
3. Shall collect all billings for the club.
4. Shall disburse the monies of the club as ordered by the Regatta Committee.
5. Shall receive all membership dues and miscellaneous income.
6. Shall prepare a report of all receipts and disbursements of the club during its latest fiscal year for distribution to the membership.
Secretary
As Secretary, this person:
1. Shall maintain all membership records of the club.
2. Shall send out dues notices.
3. Shall keep an accurate record of members who have paid their dues.
4. Shall notify any delinquent members through the course of the year.
5. Shall send out proper notice of all meetings of the club.
6. Shall take minutes at each Regatta Committee meeting and disburse them to each member of this committee.
7. Shall help with the distribution of the Yearbook.
Principal Race Officer
As P.R.O., this person:
1. Shall hear all protests and deliver to the Secretary a copy of all protests with his decision.
2. Shall appoint assistants, at his discretion, to aid in the discharge of the duties of the Principal Race Officer.
Chief Scorer
As Chief Scorer, this person:
1. Shall receive from the Race Committee the complete results of each race upon its completion.
2. Shall compute the current standings of each yacht.
3. Shall post these standings on the official website.
Property Officers
As Property Officers, these people:
1. Shall have charge of storing and maintaining all equipment and property of the Club.
Fleet Captains
As Fleet Captains, these people:
1. Shall represent the interests of the Club's Fleets on the Regatta Committee.
Junior Fleet Director
As Junior Fleet Director, this person:
1. Shall be responsible to the Commodore for all matters concerning the Junior Fleet.
2. Shall plan and manage all Junior Fleet races and related activities.
3. Shall design and order the yearly t-shirt.
Trophy Chair
As Trophy Chair, this person:
1. Shall purchase, engrave, and deliver to the Commodore all medallions, cups, and other trophies which the Regatta Committee sees fit to award throughout the season.
2. Shall review the condition of each trophy annually prior to presentation and if necessary make arrangements for repair, restoration, or provision for additional space for engraving.
3. Shall make recommendations for additional perpetual trophies when the need arises and set standards for acceptance of gift or memorial trophies.
Membership Chair
As Membership Chair, this person:
1. Shall solicit new members for the Club.
2. Shall assist at the sign-in table at yacht club functions in welcoming and registering all members.
3. Shall appoint members to aid in carrying out these responsibilities.
Yearbook Editor
As Yearbook Editor, this person:
1. Shall be responsible to the Commodore for all aspects of the yearbook, including the collection of all data, layout, production, and distribution.
2. Shall appoint members to aid in carrying out these responsibilities.
Historian
As Historian (Rear Commodore or appointee), this person:
1. Shall be responsible to the Commodore for the perpetual maintenance and publication of the Yacht Club History.
2. Shall be responsible for the consolidation, maintenance, and safe storage of all old records and memorabilia of the Club.
Golf Tournament Chair
As Golf Tournament Chair, this person:
1. Shall be responsible to the Commodore for all matters concerning the annual Golf Tournament.
Legal Advisor
As Legal Advisor, this person:
1. Shall be a practicing lawyer in the State of Indiana.
2. Shall act as counsel to the Club.
Other Committees
Race Committee
The Race Officials and Judges for all races will be appointed by the Commodore and P.R.O. (Principal Race Officer). The P.R.O. will maintain a roster of qualified Judges and Race Officials for use by the Committee.
This committee:
1. Shall assume complete responsibility for the management of all races.
2. Shall make certain that the committee boat and all related equipment are in good condition.
3. Shall enforce the racing rules after the preparatory signal has been given and assure courteous conduct of all participants.
4. Shall certify, by personal signature, the correctness of the racing card showing the order of the finish of each race.
5. Shall be stationed on the finish line and announce the order of finish of each yacht.
6. Shall be responsible for the direction of the Rescue Boat to ensure utmost safety to competing crews while at sea.
7. Shall, in the interest of safety, satisfy them that all yachts are equipped with approved life jackets.
8. Shall keep a record of the order of finish of each yacht in each race on a standard race card and deliver the same to the Chief Scorer.
Nominating Committee
This committee:
1. Shall meet each year before the Annual Meeting and propose a list of candidates for the six elective offices to be presented to the membership at this meeting. (This committee is to be composed of the Immediate Past Commodore, who will preside as Chair, current Commodore, 1st Vice Commodore, 2nd Vice Commodore, as well as all past Commodores.)
